Setting Up Your POS

Get your point-of-sale system ready in under 15 minutes. This guide walks you through the essential setup steps.

Prerequisites: A PosStar account (free plan works). For receipt printing, a compatible thermal printer (ESC/POS) connected via USB or Bluetooth.

Create Your Account

Visit posstar.net and click "Start Free Trial" to create your vendor account.

Fill in your business name, email, and password. Choose your industry type (retail, restaurant, etc.) — this pre-configures optimal settings.

After registration, you'll land on the dashboard with a default store already created.

Add Your Products

Navigate to Products from the sidebar. Click "Add Product" to create your first item.

For each product, enter:

  • Name and optional description
  • Price (selling price to customers)
  • Cost price (for profit tracking)
  • SKU and/or barcode (for scanning)
  • Category (create categories first under Settings > Categories)
  • Initial stock quantity
  • Tax rate (if applicable)

Tip: Use the CSV import feature to bulk-upload products. Go to Products > Import and download the template CSV file.

Configure Payment Methods

Go to Settings > Payment Methods to enable the payment options you accept.

PosStar supports:

  • Cash — with automatic change calculation
  • Card — integrates with your card terminal
  • Mobile Payment — QR-code based payments
  • Split Payment — combine multiple methods in one transaction
  • Store Credit / Customer Account — for regular customers

Set Up Your Receipt

Customize your receipt layout in Settings > Receipt. You can configure:

  • Store name, address, and contact info
  • Logo (displayed at the top of the receipt)
  • Footer message (e.g., "Thank you for shopping!")
  • Receipt width (58mm or 80mm for thermal printers)
  • Show/hide tax breakdown, cashier name, barcode

Add Staff Members

If you have employees, add them under Settings > Staff. Each staff member gets:

  • Login credentials (email + password)
  • Role assignment: Admin, Manager, or Cashier
  • Optional: PIN code for quick POS login
  • Store assignment (for multi-store setups)

Role permissions — Cashiers: POS only. Managers: POS + inventory + reports. Admins: Full access including settings.

Start Selling

Navigate to POS from the sidebar to open the point-of-sale terminal.

The POS interface has three main areas:

  • Product Grid — Click or tap products to add them to the cart. Use search or barcode scanning for quick lookup.
  • Cart — View selected items, adjust quantities, apply discounts, add notes.
  • Payment — Select payment method, process the transaction, print or email receipt.

Keyboard shortcuts: Search (Ctrl+K), New Sale (Ctrl+N), Payment (Ctrl+P), Print Receipt (Ctrl+Shift+P).
